Workspace Users
Workspace users are company accounts that an Owner adds to this workspace. Membership is how people open the workspace, appear in user columns, receive notifications, and hold roles for access and approvals.
This is not the company Users list (invites and account status). It is not a chat profile member list (operators who pick up live chats).
When to use
- Bring teammates into a workspace after they exist as company users
- Mark Owner or Developer for admin vs builder access
- Attach custom roles so tables, widgets, in-app chat, and tool approvals stay limited to the right people
Invite a company user first
Open company Users (outside the workspace). Invite by email. The invitation expires in 24 hours. After they accept, they appear in the company user list and you can add them to a workspace.
You cannot add someone who has not been invited (or created) at company level yet.
Add a user to the workspace
Open Configuration → Workspace Settings → Users. Only Owners can view and manage this page.
- Choose Add User.
- Pick a company user who is not already a member.
- Optionally select one or more custom roles.
- Save.
The member can now open this workspace. Edit the row later to change Owner, Developer, and custom roles, or remove them from the workspace.
| Flag | What it does |
|---|---|
| Owner | Manage workspace settings, users, and roles |
| Developer | Builder surfaces (agents, workflows, and similar Dev-gated menus) |
| Custom roles | Resource access and approval assignees — see Roles |
A person can be a Developer and also hold custom roles. Empty custom roles still allow Owner/Developer access; they do not grant table or widget matrices by themselves.
Where membership shows up
| Place | How |
|---|---|
| Roles | Owners assign members to a role from Users on that role |
| Chat profiles | Add workspace users as profile members for handover |
| Notifications | Send to users and/or role holders |
| Tables | User and multi-user columns pick workspace members |
| In-app chat | View on roles controls who sees the sidebar chat |
Limits
- Only Owners manage Workspace Settings → Users.
- You add existing company users; you do not send the invite from this page.
- Removing a member does not delete the company account.
