Table layouts and private links for collecting or updating rows without the grid.

A form is a named layout on a table — not a second dataset. It mixes writable columns with decorative blocks (headings, alerts, and so on) and is meant for people who should not use the grid. Submissions always write the parent table.

Open a table (Data → Tables), then Forms. Owners and Developers can create and edit forms. Other members do not get the forms editor.

When to use

  • Collect or update rows from a public link (customers, vendors, anyone without a workspace login)
  • Show only some columns, with labels and helper text, instead of the full spreadsheet
  • Cap or identify respondents (email OTP, allowlist, single use)
  • Offer several layouts on the same table (intake vs update vs internal)

Use the table grid when your team is editing many rows, filtering, grouping, or filling columns that are not on a form.

Create a form

A table can have many forms. On the table, open Forms, create a form, and set Name and optional Description. Edit layout to:

  • Add table fields (writable columns) or blocks: heading, subheading, paragraph, divider, alert, info
  • Reorder items
  • Mark a field item Required
  • Preview the form

Delete a form from its detail page.

Share a form

On the form, manage Private links. Each link is a public URL (/forms/p/:token) that inserts or updates rows on the parent table. The full token is shown only when you create the link.

Respondents open the URL, optionally verify email, fill the layout, and submit.

You can also create, read, and delete form links from workflow Form Link blocks.

Limits

  • Forms never create a separate dataset; they always write the parent table.
  • Email usage caps and allowlists apply only when Require email verification is on.
  • Only Owners and Developers manage forms; other members use the table grid (read-only unless they have table edit access).
